Privacy Policy
Last updated October 20, 2026
Make My Minutes is a service of Jon Watkins Consulting ("we," "us"). It helps boards record their meetings and keep their minutes. This policy explains what information we handle, why, and what control you have over it. We've tried to write it in plain language.
The short version
- Your organization's records belong to your organization.
- We don't sell your information, show ads, or use tracking or analytics tools.
- We don't record audio or video of your meetings.
- You can ask for a copy of your records, or for them to be deleted, at any time.
What we collect
- Your account. When you sign in, we receive your email address and, if you use Google, the name on your Google account. We use these only to sign you in and to match you to the organizations you belong to.
- Your organization's roster. Your organization's administrators enter board members' and staff members' names, titles, and email addresses so that those people can sign in and appear in the minutes.
- Meeting records. This includes agendas, attendance, motions, votes, the notes recorded for each item, and the minutes generated from them.
We don't collect payment card details through the service. Billing is handled by invoice.
Where it's stored
Records are stored with Google Firebase, part of Google Cloud, in the United States. Firebase encrypts data in transit and at rest. To let you keep working without an internet connection, the app also keeps a copy of your organization's records on the devices where you use it. Signing out or clearing the browser's data removes that copy.
Who can see it
- Members of your organization. People whose email is on your organization's roster can sign in and see its records. Your organization's administrators decide who is on the roster.
- Us. We can access records to set up your organization, provide support you ask for, and keep the service running. We don't otherwise look at them.
- Service providers. Google stores the data and delivers sign-in emails on our behalf.
We disclose information to others only if the law requires it, and we'll tell you if we're allowed to.
Ownership, copies, and deletion
Your organization's records belong to your organization. An administrator can ask us for a complete copy at any time. If your organization stops using Make My Minutes, an administrator can ask us to delete its records, and we'll confirm when that's done. Approved minutes are kept unchanged while your organization uses the service, so the official record can be trusted.
Children
Make My Minutes is for adults serving on boards and isn't directed to children under 13.
Changes to this policy
If we make a meaningful change, we'll update the date above and let organizations' administrators know before it takes effect.
